Jay Acunzo — Ops Manager Role
Hey, I’m Jay.
I’m a writer, speaker, and lifelong creative obsessed with helping people make the leap from marketing more to mattering more. I’m fed up with all the hype-filled, hollow content flooding the internet, and it’s my mission to help people of substance and expertise resonate deeper.
I started my career in marketing and media roles at Google, HubSpot, a tiny startup, and a VC firm, after which I spent many years as a traveling keynote speaker & author, podcast + docuseries host, and (essentially) a professional public voice and business storyteller.
Today, I advise experts and entrepreneurs (authors, speakers, creators, consultants, coaches, and other mainly independent voices and service providers). I help them stop chasing attention and become more highly sought. My work consists of 1:1 advisory services (most of my revenue) to develop their premise, clarify their message, and become stronger speakers and thought leaders. Part of my revenue also comes from small-group accelerators, paid keynotes, and brand deals.
I’ve grown my business alone, maxing out what I can do without support, and I need a behind-the-scenes partner who loves making things run smoothly so I can focus on my strengths publicly and with clients.
That’s where you come in.
I’m looking for an Operations Manager — part-time to start, but longer-term who knows! — who can keep chaos at bay, connect dots I can’t always see, and make sure clients, leads, partners, and my subscribed audience all feel cared for.
You must be equal parts ops brain and relationship-builder.
This is NOT:
❌ a “virtual assistant” [yes, I’ll need support on my task list but also someone to see things I can’t and come with suggestions]
❌ a strategic role who advises but doesn’t build [this is mostly in-the-weeds execution work]
❌ a “mini-me” [don’t apply if you’d rather do the stuff I’m doing; you should genuinely love ops and systems]
Instead:
✅ You’ll need to be both a builder (designing systems, refining workflows) and a doer (processing videos, scheduling posts, sending client recaps, etc.).
✅ The term “SOP” gets you excited. (Hey, I’m a nerd about random things in my core lanes too. SOPs should be yours.)
You should be comfortable in the weeds and happy to roll up your sleeves every week.
In short, you love executing and refining systems—and ensuring others get to unleash their best work as a result.
What You’ll Own
Client Ops
Make sure clients always know where we’re at and what’s next — with clear, consistent communication.
Process and upload client call videos within 1 business day (Wistia → Notion), with clean naming and organization.
Send post-call recaps with action steps, links, and resources to keep projects moving.
Track assignments between calls (outlines, drafts, deliverables).
Add thoughtful touches — updates, content links, occasional delight initiatives (handwritten notes, small gifts).
Sales + Biz Ops
Maintain and clean up the sales pipeline weekly.
Track invoices and recurring business metrics.
Keep inquiries and referral partners engaged: follow-ups, database updates, reminders to me about who to nudge and when.
Set up my Public Speaking Accelerator program in all of the systems.
Content Ops
Process and repurpose content: light editing of raw recordings with titles/captions (no serious technical or design chops required), schedule social posts, refresh/repurpose older newsletters/episodes.
Prep and manage “best of” email series.
Surface content ideas and story materials from call transcripts and Zoom chats.
Public Speaking + Guesting Support
Manage logistics for booked talks: slides, bios, follow-ups, testimonial requests.
Research new event opportunities, podcasts, and peer-level speakers and consultants for collaboration.
Build systems to support big-swing creative projects and events.
Who You Are
A hungry learner who wants to grow in a long-term role.
Comfortable creating and refining SOPs — you don’t just follow instructions, you build them.
Equally comfortable in the weeds: you’ll be the one trimming videos, uploading assets, scheduling content, and drafting some comms/emails.
Proactive communicator who surfaces problems and brings solutions.
Systems-friendly and detail-oriented, with the curiosity to dig deeper into research and client needs.
Relational: you know that great ops isn’t just processes, it’s people feeling seen and supported.
Excited to work directly with a creative (read: sometimes scattered) entrepreneur and bring balance and stability.
Bonus points if you already know or admire my work — because you’ll be helping shape the impact of books, keynotes, podcasts, and programs that reach 100s of thousands of people each year!
The Nuts and Bolts
Hours: Up to 10 hours/week to start. Some daily check-ins required (ex: client video processing), but most hours are flexible.
Compensation: $40-50/hour depending on experience.
Location: Remote.
Reporting: Directly to Jay.
Growth: This is a long-term role with room to expand in scope as we build together. This sentence you’re reading now is an attention to detail test. In your application, tell me you found it using a quick PS in your intro section. The ops manager role is directly connected to my ability to grow my business. As we do so, you will be more needed too, and a part-time collaborator could become a big-time partner in my business. I can’t promise that, but I do think about it and smile.
Why This Role Matters
I can create content, connect with clients, and deliver big ideas. But for those ideas to actually make an impact, clients need consistent support, inquiries need steady follow-up, and opportunities need to be tracked and pursued, while my regular work creates a lot of “surface area” which needs to be updated, repurposed, or investigated to tease out new insights fueling my public platform.
That’s the stabilizing force you’ll bring. You’ll be the reason client relationships stay strong, content gets out the door, and big creative ideas become reality.
You’ll free me up to keep doing the creative work I do best — and in turn, your work will directly shape the success of the business and the impact of everything I create.
